Initiating a refund when there are not enough funds within the campaign accumulation before the next payout
Scenarios: (each assumes a payout happens before a refund can be initiated – payouts are automatic every day) Contacts pay for a ‘ticket’ which for many of our programs can be quite large yet spaced out. Contacts will be paying for tickets over a period of months, with days and weeks between transactions. If a Contact has a situation arise where they can no longer participate, or they chose the wrong event (unable to move transactions to new campaign), or other reason, we can’t refund until the next contact pays for a ticket which could be weeks away. This is especially problematic when the contact that needs a refund is the LAST contact to make a purchase/donation before the campaign is closed. No more transactions will come into the campaign so a refund is impossible. Suggested Solutions: If a balance exists in the campaign before the next daily payout, then its fine to use that balance for the refund which we can initiate. But if no balance exists, then could you not charge/bill us via our bank account? Or have a ticket box to “use balance” or “charge bank” when initiating a refund. (If need be maybe there is a minimum amount before an ACH transfer occurs, or once a day or something, and we would cover the charges accrued with any ACH transfers for the refund(s)). Obviously a refund with the balance accrued is best, but sometimes that is not possible and we would want to refund anyway, and have an ACH transfer to cover the refund and the ACH fee if any. Or if we write a check to refund, there is no way to mark the transaction as ‘refunded’ the transactions continues to look as if it is ‘fully legit’. But in reality we have refunded it outside of the Givebutter system. So, we also need to manually mark it as an “offline refund”. Or another idea is to allow us to move transactions to a new campaign (we could create a ‘refund’ campaign, where transactions can go and not affect the totals for the original campaign, and then we can issue a check refund for the contact. And if the transaction is unable to be ‘refunded offline’, it can continue to ‘be legit’ in the new ‘refund campaign’) Even though we have refunded it outside of Givebutter.
